Online Event Exhibitor Guide

Present your company and your products within the presentation area of our online events. If you are also invited to present your company and products at one of the stages or sessions during an online event, please have a look at the speakers help.

As we want your presentation area to be a complete success, we would like to offer you an overview of all the things that need to be considered in advance and can be used as personal checklist. And of course, we will provide you with some tips to get the most out of your presentation area in the expo section of the online event.

Exhibitor Tutorial: Important Information at a Glance

Please have a look at the demo video, which will certainly answer many of your questions. It will also give you a first visual impression of the platform and the possibilities within the presentation area.

Your Personal Presentation Area

This is how you become visible

Your booth – or its notification by means of a banner – will be visible in various places during the online event. You are visible in the exhibition area as well as on the login or registration page for the online event.

In order to set up your booth, we will email you in advance to access an online form and a list of the materials you should have ready. You can adjust your booth continuously until the end of the event. All that is left to do to get ready for the event is to organize the booth staff if you want to have a responsive, interactive booth. Your staff is responsible for the live chat and the video function and also available during the live session if you have decided on a live demonstration in the presentation area.

Design your booth

Personalize your presentation by adding the following:

  • Company name, slogan and brief portrait
  • Logo and background image live or pre-recorded video (can be uploaded via YouTube, Vimeo or Wistia), Google Slides presentation or live session
  • Website and social media links
  • Discount or special offer (optional)
  • Call-to-Action button
  • Freely designable area: integration of graphics, texts and others

Tips for your setting up your booth

Optimize your profile

Profile description:

  • Increase the attention of booth visitors by making an individual offer, e.g. in the form of a discount code, a white-paper download or personal consultation.
  • Include the 'opening times' of your booth in the profile, as the online event is open around the clock for several days. In this way, the event participants know when you can be reached best.
  • Are you planning live presentations? Then it is best to announce the corresponding sessions in the description and also in the event chat.

  • Upload your logo in a square format for optimal appearance. If the shape of your logo does not allow this, we recommend setting it on a square white background and saving it as an image file.

Background image:

  • Your logo as well as the name and slogan of your company will be shown (in white letters) on the background image in a specified banner format. A key visual / background image without text is therefore recommended.

Pre-recorded videos:

  • You can quickly and easily embed a pre-recorded video with your advertising message. The video can be viewed by the participants at any time.
  • The video should have a maximum duration of 3 minutes, after which attention decreases.

Get to know the visitors at your booth!

Call-to-action Button and Website Link

  • Link your e-mail address to the call-to-action button and ask your visitors to contact you by clicking the button. Every time someone clicks your button, you get an email. It is that easy to generate leads!
  • Refer to your profile text and link to a special offer (e.g. a white-paper) on your website, where visitors can then fill out a download form. Also, remember to prepare your website accordingly.
  • Create your own landing page (on your Website) for the online event and link to it. Here you can provide various contact forms, download forms, etc. to find out who is interested in your booth. Also, remember to prepare your website accordingly.

  • Use the Chat tab for your booth to get in direct contact with your visitors, to exchange ideas with them and to ask for their contact details.

Focus on interactivity and liveliness

Use our video area

It is all in the mix:

  • Create a video playlist in advance and stream it directly from your computer or laptop by sharing your screen. This makes your content more varied and entertaining.
  • You can also pause the video stream at your booth and contact visitors directly via the webcam to answer questions.

Live presentation:

  • Use a live presentation to achieve as much interaction with your visitors as possible and to interact directly with them. Up to 20 people can be viewed on the screen at the same time (a split screen counts as one person).
  • You can present your latest products and offers via a split screen (without having a slot in an official session of the event) and via the chat or answer questions live.

Involve visitors

Invite visitors to your booth:

  • You have access to all participants of the online event via the participant list and can invite them directly to your booth and contact them there.

Interaction with groups:

  • Use the group chat to get in touch with the visitors of your booth and to discuss various topics (visible to all visitors of your booth).
  • Invite people to a 1-on-1 video call. You can invite other people to this conversation by copying the relevant URL and copying it into the group or private chat. All other visitors of your booth will see the pre-recorded video while you can interact with a group spontaneously without having an official live session.

1-to-1 interaction:

  • Invite visitors to your booth or event for a 1-on-1 chat or video call by clicking on their name.

The prerequisites for a "live feeling"

  • Assign at least two people to take turns keeping an eye on the presentation area in order to answer questions promptly – just like with a physical booth.

Technical Equipment:

  • If you would like to give a live presentation, please read the Instructor Guide to learn more about the technical requirements.

Advertising for your booth and the online event

Present your company

Design your presentation area optimally by promoting your session and the online event as a whole. Use your personal network and your company's marketing channels to do this. Invite customers and business partners to the event.

We are happy to provide advertising material for this purpose.
